All managers and leaders must master the art of delegation. Understanding how and when to allocate responsibility to others is essential in maintaining a high level of productivity, both on a personal and organizational level. Knowing how to delegate is also essential for an effective leadership.
To learn how to delegate is to build a cohesive and effective team who can meet deadlines. Moreover, knowing when and how to delegate work will reduce your workload, thus improving your wellbeing at work and boosting your job satisfaction. Unfortunately, many leaders are unsure how to delegate properly or are hesitant to do so.
In this guide, you will discover what delegation really entails, how it benefits your team, and how to delegate tasks successfully.
An effective leader knows how to delegate. When you delegate some of your work, you free up your time and achieve more on a daily basis. Effective delegation also promotes productivity within a team by drawing on the existing skill set of its members and allowing them to develop new knowledge and competencies along the way. The result is a more flexible team that can share roles when the need arises.[1]
When you are willing to delegate, you are promoting an atmosphere of confidence and trust. Your actions send a clear signal: as a leader, you trust your subordinates to achieve desired outcomes. As a result, they will come to think of you as a likeable and efficient leader who respects their skills and needs.
Delegation isn’t about barking orders and hoping that your staff falls in line. A manager’s job is to get the very best from those under their supervision and in doing so, maximizing productivity and profit.[2]
Here’s an example of bad delegation:
Careful delegation helps to identify and capitalize on the unique strengths and weaknesses of the team members. Delegation also boosts employees’ engagement as it proves that the managers are interested in drawing on their talents.[3]
Delegation boosts productivity, but not all managers are willing or able to delegate.[4] Why? Here’re some common reasons:[5]
Most people think that delegation and allocation are synonymous, but there is an important distinction to be made between the two.[6]
When you allocate a task, you are merely instructing a subordinate to carry out a specific action. You tell them what to do, and they do it–it’s that simple. On the other hand, delegation involves transferring some of your own work to another person. They do not just receive a set of instructions. Rather, they are placed in a role that requires that they make decisions and are held accountable for outcomes.[7]
So what’s the best way to delegate work so you can fight the fear of delegation, build an efficient team and work faster?
By understanding how much control you need to maintain over a situation, you can determine the best strategy for empowering workers. There are 7 levels of delegation that offer workers different degrees of responsibility.
This brief video explains these levels and offers examples of when it’s appropriate to use each one:
Delegation occurs along a spectrum. The lowest level of delegation happens when you tell other people what to do. It offers little opportunity for employees to try new approaches. The most empowering form of delegation occurs when you are able to give up most of your control over the project to the employee.
Knowing how to delegate work helps you understand how to connect people with tasks that make the best use of their talents. When done properly, it ensures that you will get the best end-result.[8]
When you’re deciding how to delegate work, ask the following questions:
You have to pass the torch to the right team member for delegation to work. Your goal is to create a situation in which you, your company, and the employee have a positive experience.
Think about team members’ skills, willingness to learn, and their working styles and interests. They’ll be able to carry out the work more effectively if they’re capable, coachable, and interested. When possible, give an employee a chance to play to their strengths.
Inexperienced workers may need more guidance than seasoned veterans. If you don’t have the time to set the newer employee up for success, it’s not fair to delegate to them.
You also have to consider how busy your employees are. The last thing you want to do is overwhelm someone by giving them too many responsibilities.
After you’ve found the perfect person for the job, you still have to get them to take on the new responsibility. Let them know why you chose them for the job. [9] When you show others that you support their growth, it builds a culture of trust. Employees who see delegated tasks as opportunities are more likely to be invested in the outcome.
When you’re working with newer employees, express your willingness to provide ongoing support and feedback. For seasoned employees, take their thoughts and experiences into account.
It’s critical to explain to employees why the project is necessary, what you expect of them, and when it’s due.[10] If they know what you expect, they’ll be more likely to deliver.
By setting clear expectations, you help them plan how to carry out the task. Set up project milestones so that you can check progress without micromanaging. If your employee has trouble meeting a milestone, they still have time to course correct before the final product is due.
This type of accountability is commonly used in universities. If students only know the due date and basic requirements for completing major research papers, they might put off the work until the eleventh hour. Many programs require students to meet with advisers weekly to get guidance, address structure, and work out kinks in their methods in advance of deadlines. These measures set students up to succeed while giving them the space to produce great work.
To see the best possible outcomes of delegating, your subordinates need resources and support from you. Connect them with training and materials to develop skillsets they don’t already have.[11] It may take more time up front to make resources available, but you’ll save time by having the work done correctly. For recurring tasks, this training pays off repeatedly.
Sometimes employees need a help to see what they’re doing well and how they can improve. Giving and receiving feedback is an essential part of delegation. This is also a good way to monitor the delegated tasks as a leader. While you can keep track of the progress of the tasks, you are not micro-managing the employees.
Throughout the project, periodically ask your employees if they need support or clarification. Make it clear that you trust them to do the work, and you want to create a space for them to ask questions and offer feedback. This feedback will help you refine the way you delegate work.
During periodic check-ins, recognize any wins that you’ve seen on the project so far. Acknowledge that your employees are making progress toward the objective. The Progress Principle lays out how important it is to celebrate small wins to keep employees motivated.[12] Workers will be more effective and dedicated if they know that you notice their efforts.
Recognizing employees when they do well helps them understand the quality of work you expect. It makes them more likely to want to work with you again on future projects.
Now that you know exactly what delegation means and the techniques to delegate work efficiently, you are in a great position to streamline your tasks and drive productivity in your team.
To delegate is to grant autonomy and authority to someone else, thus lightening your own workload and building a well-rounded, well-utilized team.
Delegation might seem complicated or scary, but it gets much easier with time. Start small by delegating a couple of decisions to members of your team over the next week or two.

More than 70 South Korean lawmakers are calling for the leader of the North’s Olympic delegation to be publicly hanged and “sliced to death.” The demands came at a protest outside the presidential Blue House in Seoul Friday.
North Korean General Kim Yong Chol will lead an eight-member delegation that will attend the closing ceremony of the Pyeongchang Olympics Sunday to kick off a three-day visit. The former spymaster is widely believed to have coordinated a series of attacks against the South, including the torpedo attack which sank the Republic of Korea Navy Pohang-class corvette, killing 46 crew. Pyongyang has repeatedly denied responsibility for the incident.
“Kim Yong Chol is a diabolical war criminal who attacked the South… He deserves death by hanging in the street,” the party’s parliamentary floor leader Kim Sung-tae said in a statement, as cited by AFP. “Even if the heavens split in two, we cannot allow such a heinous criminal – who must be sliced to death – to be invited to the Olympics closing ceremony.”
Kim Yong Chol, the former head of the North’s Reconnaissance General Bureau, has also been accused of involvement in the shelling of Yeonpyeong island in the Republic of Korea in 2010, which killed four people. Unification Ministry spokesman Baek said the sinking of the Cheonan was “certainly the North’s work” but added that “there are limits to pinpointing those who were directly responsible.” Yong-chol, 72, was the chief military negotiator during previous inter-Korean talks, between 2006 and 2008.
However, despite the efforts to scupper the peace talks, the visit will likely go ahead for the greater good, given the amount of progress towards detente between the two nations that has been made in recent months. Unification ministry spokesman Baek Tae-hyun emphasized the “chances for improving inter-Korean ties” adding that “a peace settlement might be improved.”
“We expect the high-level delegation’s participation in the closing ceremony of the Pyeongchang Winter Olympics to help advance the process of settling peace on the Korean Peninsula including the improvement of inter-Korean relations and denuclearization,” the Unification Ministry, a South Korean government agency, said in a statement as cited by The New York Times. “Against this backdrop, from this standpoint, we will accept the visit of North Korea’s high-level delegation to the South.”
North Korea has toned down its abrasive rhetoric ahead of and during the Olympic games while engaging in a charm offensive over which the mainstream media has fawned in recent weeks. Kim Jong Un’s sister, Kim Yo-jong, sat mere feet away from US Vice President Mike Pence at the games but the two didn’t exchange a single word despite prior reports that the US was willing to talk. Kim Yo-jong also invited South Korean President Moon Jae-in to a summit meeting in the North on behalf of her brother Kim Jong-Un.

The club officials will meet Chelsea director Marina Granovskaia hoping to finalise the transfer of the Spain striker.
Atletico, who cannot sign players until January because of a FIFA transfer embargo, are willing to raise their offer to 35m Euros (around £32m) to seal the deal.
Costa has already agreed a salary of 10m Euros (£9.1m) a year with the La Liga club, for whom he played from 2010 to 2014.
And sources close to the player, who has been AWOL in Brazil since being told he is not wanted at Stamford Bridge, say he hopes it will all be agreed within days.
With Costa in exile, Antonio Conte failed to find a replacement during the transfer window and the manager admits he does not yet know if his squad is stronger than the one that ended last season as champions.
And he has made it clear the club hierarchy will need to adopt a clear plan next year if they are to avoid getting caught up in another late dash when the deadline is brought forward next August.
Conte’s squad was not finalised until the very final moments of deadline day when Danny Drinkwater completed his move from Leicester, following Torino right-back David Zappacosta into the club on the final day.
But a frantic Thursday also saw Chelsea miss out on Alex Oxlade-Chamberlain, Fernando Llorente and Ross Barkley, adding to the list of missed targets that left Conte with mixed feelings about the club’s dealings.
Record signing Alvaro Morata, Antonio Rudiger, Tiemoue Bakayoko and Willy Caballero also came in but with key players leaving, the manager admitted it will take time before he knows if progress has been made.
“It’s very difficult,” said Conte.
“We have to wait until the end of the season and then we’ll see. Then I can reply very well to this question.”
Eden Hazard returns to the Chelsea squad for today’s trip to Leicester but Drinkwater is likely to be forced to wait for his debut, with Foxes boss Craig Shakespeare revealing the midfielder told him he wanted to quit a month before making it official.
Drinkwater’s decision to jump ship has left a bad taste with some Leicester fans and Shakespeare hinted he was disappointed at the way things had ended with one of the stars of their title-winning team.
“There’s a saying that a lot of things in football will disappoint you, but nothing should surprise you,” said Shakespeare.
“If I’m honest, I knew well before his transfer request. Danny made it quite clear that his heart was set on a move. For me to tell our fans how to react would be wrong.”
Beijing (AFP) – Empty talk, self-censorship, brain-dead conformity — that’s outspoken delegate Cui Yongyuan’s assessment of China’s national parliament, celebrated by the Communist Party as empowering the people but which he calls a big waste of time.
Around 5,000 delegates from across the country are in Beijing for the annual Communist-choreographed session, the world’s largest parliamentary gathering.
The spectacle monopolises Chinese television screens and other media every year for 10 days and is touted by the Party as proof that it at least listens to the people despite its hammer-lock on power.
But as the session prepares to close Wednesday, Cui, among China’s most-recognised television personalities and former host of a talk show called “Tell It Like It Is”, is doing just that.
In an interview, Cui, 54, bemoaned what he described as delegates’ timidity, blind party obedience and self-censorship, in a rare unvarnished critique of the tightly scripted show.
“Some of our (delegates) don’t take action because they feel there is some sort of danger, thinking ‘If I dare to speak the truth, then next year I won’t have a chance any more, or perhaps even this year my leaders will take me to task,” said Cui.
“This isn’t a stage, to put on a show. It’s not a place for everyone to put on their pretty clothes and take pictures. This is a place for political participation,” Cui said.
He spoke while petting his cat “Little Fatty” and sipping tea in his calligraphy-lined office at the Communications University of China, where he teaches at an oral-history research centre established in his name.
The typical delegate was uninformed on major issues and “like a blind man on a blind horse, rushing headlong into disaster,” Cui said.
“But there are tonnes of these kinds of people.”
The session gathers two bodies, the rubber-stamp National People’s Congress — China’s closest thing to a parliament — and a separate 2,000-strong assembly of delegates whose role is supposedly to “advise” the government by putting forth policy suggestions.

Cui has been a member of the latter, the Chinese People’s Political Consultative Conference (CPPCC), for ten years.
But the chances of an invite back are “near zero”, Cui says, after speaking his mind among fellow delegates too “afraid to comment”.
Much of his disgust is fuelled by his belief that he has been blacklisted for aggressively pushing proposals to crackdown on foods derived from genetically modified organisms (GMOs).
It is a hot-button issue, with the central government interested in pursuing GMO development, while there is strong resistance among consumers over safety fears.
Cui has submitted the proposal annually only to see it go nowhere.
Once able to command high appearances fees, Cui says he is now shunned.
He has millions of social-media followers but his accounts have been mysteriously disabled, and censors deleted online posts of his proposal.
Cui left CCTV after it pressured him to drop his anti-GMO advocacy.
“I’ve done absolutely nothing against the law and handled my proposal via all the official channels. It’s not like I was protesting in the streets,” Cui said.
Affable and passionate, he feels he is being punished for merely taking his delegate role seriously.

The CPPCC taps leaders in fields from engineering to education — many of whom, like Cui, are not Communist Party members. To add some flair, it includes celebrities like basketball star Yao Ming and movie icon Jackie Chan.
CPPCC colleagues have this year told Cui to cut his speeches short, or advised him simply to clam up, he said.
“In a month or two, I think I’ll have no outlet anywhere to say what I’d like to say,” said Cui.
In past years, officials would seek delegates out to amicably discuss proposals seen as sensitive or problematic.
But the Communist government has dramatically tightened restrictions on politics and free speech since Xi Jinping became president in 2013.
This year, the few delegates keen to “speak the truth” were rebuffed or censored, Cui said.
He called his apparent muzzling “brutal and cruel,” akin to the actions of “the mafia or hooligans.”
Yet he defends the parliament session as necessary, and backs official party calls for more transparency in the process.
The problem is the “brain sickness” of delegates, which Cui likened to the mindless conformity of the Cultural Revolution, when a single indiscreet comment could be perilous.
“If it were the 50s or 60s, I bet even my mother would be killed. We’d all be taken and heads would roll,” he said.
Cui said he won’t drop his anti-GMO crusade, calling it a patriotic duty.
“It’s exactly because there are so few people who are willing to speak up that I must continue to do so.”
